How AvaNotes handles your voice.

The short version. Your voice recordings, transcripts, and notes belong to you. We never join your meetings. We never share your audio with advertisers, brokers, or AI training pipelines. We never read your existing reminders, calendar, or contacts. Delete any note or your entire account in two taps.

1. What we collect

Apple ID identifier. A pseudonymous user ID returned by Sign in with Apple. We never see your email, real name, or Apple password.
Voice recordings. The audio files you create with the in-app recorder.
Transcripts and summaries. Text generated from your audio by our transcription and summarization services.
Note metadata. Titles, tags, timestamps, the structured fields Ava extracts (todos, events, follow-ups, people, projects).
Subscription receipts. Apple in-app purchase receipts used to validate your Pro status.
Anonymous diagnostics. Crash reports and performance metrics with no audio, no transcripts, and no personal content attached.

2. What we do with it

Transcribe your audio and generate the structured outputs (Ava Heard, summaries, knowledge graph) you see in the app.
Power Ask Ava — semantic search across your own library only. Other users never appear in your results and you never appear in theirs.
Sync your notes between your devices (iPhone, iPad, Apple Watch, CarPlay).
Write to Apple Reminders, Apple Calendar, or Apple Mail only when you explicitly tap the action button on an Ava Heard card.
Validate your subscription with Apple's servers.
Debug failures and improve reliability of the service.

3. What we never do

We never join your meetings or calls as a bot.
We never sell, rent, or share your audio, transcripts, or notes with third parties.
We never train AI models on your recordings or text.
We never read your existing reminders, calendar events, contacts, or emails. Ava only writes what you accept.
We never use your data for advertising, retargeting, or behavioral profiling.
We never run third-party analytics or trackers that see your content.

4. AI processors and the in-app gate

Transcription and Ask Ava run on servers operated by AI providers — currently OpenAI and Apple Foundation Models — under no-training data-processing agreements. Each request is processed in real time and is not retained for training by the provider.

Before audio ever leaves the device, the app asks you once for permission. Free users may keep capture and basic summarization on-device only; Pro features require the cloud step. You can revoke this consent at any time in Settings → Privacy.

The Studio Voice feature streams Ava's reply audio through Apple's premium cloud TTS model. It transmits only the text Ava generates — never your original recording.

5. Where your data lives

Audio is stored in private object storage in the European Union, encrypted at rest. Transcripts and metadata live in an encrypted Postgres database in the same region. All client connections use TLS 1.3. Backups are encrypted and retained for 30 days for disaster recovery only.

6. Retention & deletion

Your notes stay until you delete them. When you tap delete in the app, the note record is removed immediately and the underlying audio file is purged within 24 hours from primary storage. Backup deletion completes within the 30-day rolling window.

If you delete your account (Settings → Account → Delete Account), all of your notes, audio, transcripts, and account record are deleted within 7 days. Subscription receipts may be retained for up to 7 years as required by accounting law, with all personally identifying fields stripped.

7. Children

AvaNotes is not directed at children under 13 and we do not knowingly collect data from them. If you are a parent and believe your child has signed up, contact us at the address below and we will delete the account.

8. Your rights

You can request a full export of your data, correct anything inaccurate, or request deletion at any time by emailing [email protected]. EU/UK residents have additional rights under GDPR; California residents have rights under CCPA. We honor both.

9. Changes

We post material changes to this policy here and notify Pro subscribers via in-app notice at least 14 days before changes take effect.
